1. BULK DISCOUNT:
If you’d like to discount children’s plans to reflect your closing days, you will need to create a discount first. Head to your setup and click on pricing, then click on discount settings to create your discount.
If you’d like to discount your children’s plans by 100%, so they’re not being charged for Covid-19 related closures, create a 100% discount.
Next, head to your plan setup and select all plans. Then, click on manage and select ‘add/remove discount’ to apply the 100% discount you created earlier.
If you do still have some children coming in to the nursery, deselect them from the preview so their plans are charged for as normal.
When the time comes to put these children back onto their regular plans, just remove the discount in the same way.
This is a good option for those nurseries that still need to claim funding over the closure period, as bookings won’t be erased.
Do keep in mind that any surcharges applied to the plans will not be discounted - these either need to be removed separately, or a credit needs to be applied to cancel them out.
2. BLANK PLANS
If you wish to remove all plans to reflect the closures (so nothing is shown on the invoices), we recommend adding blank plans which will later need to be removed individually when the child comes back to the nursery.
To do this, head to your plan setup and select all plans. Click manage and select ‘add new plans’, enter the date you’d like the blank plans to start (don’t worry about adding an end date if you don’t know when children will be back). Click on preview and remove any children that will be coming to the nursery during this period.
You can mark your children as ‘sick’ if you’d like for them not to be charged during this period. You can add a note to their sick section to explain that this is for Covid closures, they’re not actually ill.
If you’d like to show that children aren’t attending but you still want to charge for their sessions, putting them on holiday for this period will achieve that.
This can be done via the attendance report or on the children’s individual profiles in bulk.
